1. Sign up

Go to hirebeck.com and click 'Get Beck'. Enter your work email and choose a strong password. You'll receive a verification email — click the link to confirm.

2. Name your workspace

Your workspace is where your team, tasks, memory, and connectors live. Use your company name or a project name. You can rename it later.

3. Meet Beck

Beck will introduce himself and ask a few questions to understand your role, priorities, and how you like to work. Answer honestly — this shapes how he communicates.

4. Invite your team (optional)

You can add teammates now or later from Settings → Team. Beck will introduce himself to each new member and adapt to their role.

Beck is not a chatbot

Beck is designed as a coworker. He remembers what you tell him, tracks tasks, and follows up. Talk to him like you'd talk to a smart new hire on day one.

Start with context

Tell Beck what your company does, what your role is, and what's on your plate this week. He'll take notes and build his memory around it.

Try a small task

Ask Beck to draft an email, summarize a document, or plan your week. Small wins build trust — and let you see how his authority controls work.

Review his memory

After the first session, open the Memory view. You'll see what Beck learned. You can edit or delete anything.

Three authority levels

Beck operates at one of three levels for each action type: Auto (he acts without asking), Preview (he shows you first, then acts on your OK), and Approval (he queues the action for you to review and confirm).

Sensible defaults

By default, Beck asks approval for anything destructive or externally visible — sending emails, posting messages, changing records, spending money. Internal actions like drafting or organizing usually run automatically.

Change any time

Open Settings → Authority to adjust per action type. If Beck gets something wrong, tighten the setting for that category. If he's too cautious, loosen it.

Send an invitation

Go to Settings → Team → Invite member. Enter their email and pick a role. They'll get an email with a secure link to join.

Roles at a glance

Owner: full control, billing, and deletion. Admin: manage team, connectors, and settings. Member: use Beck, contribute to memory, complete tasks.

Removing a member

Removing a member revokes their access immediately. Their contributions to memory and history remain in the workspace unless you also delete them.

Owner

Full access. Manages billing, deletes the workspace, transfers ownership, and can perform any admin action.

Admin

Manages members, connectors, authority settings, and knowledge sources. Cannot change billing or delete the workspace.

Member

Uses Beck, sends messages, completes tasks, and contributes to shared memory. Cannot change team, connectors, or global settings.

Creating a task

Tell Beck 'ask Sarah to review the pricing deck by Friday' and he'll create a task, notify Sarah, and remember to follow up.

Follow-ups

Beck follows up automatically before due dates. If the assignee has connected email or Slack, he uses their preferred channel.

Completing a task

Assignees mark tasks done in the dashboard or reply to Beck. Everything shows up in the Activity view.

Start the connection

In the dashboard, go to Connectors → Gmail → Connect. A Google consent screen opens. Sign in with the account you want Beck to use.

Review the scopes

Google will show you what Beck is asking for: reading messages, drafting, and sending. Only approve what you're comfortable with.

Test it

Ask Beck 'summarize my unread emails from this week'. If it works, you're connected. Otherwise check that the Gmail API is enabled and try again.

Disconnect any time

Go to Connectors → Gmail → Disconnect. Beck's access is revoked immediately.

Authorize access

Connectors → Google Drive → Connect. Sign in and approve. Beck can now list files, read documents, and (if you allow it) create or update them.

Sharing with Beck

Beck sees files based on the connected account's permissions. If a file is shared with that account, Beck can read it.

Best practices

Use a shared drive or a dedicated 'Beck' folder for files you want him to access, so his scope is predictable.

Authorize the calendar

Connectors → Google Calendar → Connect. Beck can now read your availability, create events, and update or cancel them.

Meeting scheduling

Say 'find a 30-minute slot with Ana next week' and Beck will check calendars and propose times.

Reminders

Beck can send you a morning brief or pre-meeting summary if you enable it in Settings → Preferences.

Install the app

Connectors → Slack → Connect. Approve the Beck app in your Slack workspace.

Bot scopes

Beck requests permission to read channels he's added to, post messages, and send DMs. You control which channels he can see by adding him to them.

Route approvals to Slack

In Settings → Notifications, route approval requests to a Slack channel or DM.

Start the connection

Connectors → Shopify → Connect. Enter your store handle (mystore or mystore.myshopify.com) or paste the admin URL. A consent screen opens on your store.

What Beck can do

Read and update products, orders, inventory, customers, discounts, and content. Destructive actions (fulfilling orders, refunds, price changes) require your approval by default.

Multi-store

You can connect more than one store to the same workspace and switch context in chat: 'update inventory on store B'.

Company knowledgeAdding your website to company knowledgeTeach Beck about your product by pointing him at your site.+

Add a source

Dashboard → Knowledge → Add source → Website. Paste your root URL. Beck crawls public pages, respects robots.txt, and skips anything gated.

Review before publishing

You'll see a list of what Beck found. Approve the pages you want him to use. Everything else is discarded.

Refresh over time

Trigger a re-crawl any time your site changes materially.

Add files

Knowledge → Add source → Upload. Drop in PDFs, Word docs, spreadsheets, or plain text. Beck parses and indexes them privately for your workspace.

Citations

When Beck uses a document to answer a question, he shows a citation chip you can click to see the source.

Removing a document

Delete it from the Knowledge view — all indexed chunks are removed within minutes.

Chat

The main way to talk to Beck. Everything you say here is remembered.

Everything Beck is tracking — his own follow-ups and anything you or your team have assigned.

Anything Beck wants to do that could affect people outside your team, cost money, or make a permanent change.

The three actions

Approve (Beck does it), Reject (Beck stops and remembers not to try again), Ask Beck (start a mini-conversation to change the plan).

Notifications

Approvals can be sent to your email or Slack. Configure in Settings → Notifications.

Two kinds of memory

Personal (what he learned in your chat) and organizational (shared with your team). Beck decides where each fact belongs, and you can move or delete anything.

Correcting Beck

If Beck remembers something wrong, tell him. He'll update the entry and confirm. You can also edit directly in the Memory view.

Forgetting on request

Say 'forget everything about project X' and Beck will remove those memories. You'll see the change in the memory view immediately.

Attach a file

Click the paperclip in the chat composer. Upload images, PDFs, spreadsheets, or documents. Beck reads them and responds in the same conversation.

What Beck can do

Summarize, extract key points, draft a reply, compare against another file, or turn it into a task or knowledge entry.

Privacy

Attachments are stored securely in your workspace and are only visible to members of that workspace.

Encryption

Data is encrypted in transit with TLS and at rest for sensitive fields. Connector access tokens are encrypted with AES-256-GCM before storage.

Isolation

Each workspace's data is isolated using database row-level security. Members can only see the workspaces they belong to.

Model providers

AI providers process your prompts to return answers but do not retain or train on your content under our agreements.

In Beck

Connectors → [service] → Disconnect. Access is revoked immediately and the stored token is deleted.

At the provider

For total cleanup, also revoke Beck's app in the provider's security settings (Google Account, Slack, Shopify Admin, etc.).

Export

Settings → Data → Export. Choose tasks, memory, activity, or everything. You'll receive a download link within a few minutes.

Delete workspace

Settings → Data → Delete workspace. This is permanent and removes all members, memory, tasks, and connectors. Backups are purged within 30 days.

Account and billingChanging your planUpgrading, downgrading, and adding seats.+

Upgrade

Settings → Billing → Change plan. New features are available immediately; you'll be charged a prorated amount for the current period.

Downgrade

Downgrades take effect at the end of the current billing period so you get what you paid for.

Seats

Add or remove seats any time. Removing a seat frees a team spot and takes effect at renewal.

Account and billingCancelling your subscriptionStop future renewals while keeping access to the end of the period.+

Cancel

Settings → Billing → Cancel subscription. Confirm — you'll keep full access until the end of the current period.

After cancellation

Your workspace stays available in read-only mode for 30 days so you can export data. After that, it's scheduled for deletion.

Refunds

Cancellation alone doesn't refund the current period. See the Refund Policy for the cases where refunds apply.

Download receipts

Settings → Billing → Invoices. Download any past invoice as PDF.

Change billing email

Settings → Billing → Details. Update the email address that receives receipts and renewal notices.

Change payment method

Settings → Billing → Payment method. Add or replace your card securely through our payment processor.
